Clinical Operations Specialist (Finance and Logistics)

Key Responsibilities:

Financial Management of Clinical Trials:

  • Monitor study budgets and ensure timely and contract-compliant payments to investigators, sites, and vendors
  • Process payments, verify settlements, and oversee financial compliance
  • Collaborate with local vendors and prepare purchase orders for services and supplies

Coordination of Clinical Trial Logistics:

  • Ensure timely delivery of investigational drugs, study materials, and equipment to clinical sites
  • Work closely with suppliers, warehouses, and customs agencies on importation and distribution
  • Ensure compliance with regulations and drive process improvements in logistics

Vendor & Document Management:

  • Oversee local vendors handling clinical supplies storage and distribution
  • Prepare and review financial and logistics-related documentation
  • Support the team with system updates and document archiving

Training & Mentorship:

  • Develop training materials and actively mentor staff on processing payments to investigator sites and reporting time accurately

Necessary Qualifications and Skills:

  • Experience in a similar role within a pharmaceutical company or a related field
  • Detail-oriented and deadline-driven individual
  • Team player with strong organizational and communication skills, capable of collaborating with multiple stakeholders
  • Fluency in English and Polish
  • Excel expert with experience working with payment processing systems
  • Experience in cooperation with 3rd party provider is an advantage
